Step 2: How to pre-fill the reservation form using the link

You can send the customer a link to the scheduling page that already has their first and last name, email address, and phone number filled in. The customer still chooses the date and time themselves, reviews the details, and confirms the reservation.

This is useful, for example, when you direct a customer to make a reservation from an email, CRM, or after a previous conversation.

Available parameters

prefill_name - Customer’s first and last name (e.g., Adam Nowak)

prefill_email - Customer’s email address (adam@zencal.io)

prefill_phone - the customer’s phone number (+4810020030)

Add the parameters at the end of a regular meeting link. Prefix the first one with ?, and the subsequent ones with &.

Example link:

https://app.zencal.io/u/anna/konsultacja?prefill_name=Anna%20Nowak&prefill_email=anna%40example.com&prefill_phone=%2B48500100200

In this example, %20 represents a space, %40 means @, and %2B stands for +. When entering a phone number, it’s best to include the area code and encode the + as %2B.

You don’t have to provide all three parameters. If you only know the customer’s email address, you can use a shorter link:

https://example.com/u/anna/konsultacja?prefill_email=anna%40example.com

Examples of use

A link in a message after speaking with a customer

Send a link with the information the customer has already provided. Once they open the page, they’ll simply select a convenient date and review the form.

Link from CRM

If your CRM allows you to insert contact data into the URL, you can create a separate link for each customer. Make sure your CRM encodes the URL parameter values, especially spaces, @ and +.

Booking with a Specific Team Member

You can add forced_user the organizer’s username:

https://app.zencal.io/o/zespol/anna/konsultacja?forced_user=anna&prefill_name=Jan%20Kowalski&prefill_email=jan%40example.com

forced_user selects the organizer; parameters prefill_* fill in the participant’s details.

Good to know

  • Pre-filling the form does not automatically create a reservation. The customer can correct the information before confirming it.

  • On the standard scheduling page, there is no separate parameter prefill_phone_prefix. Enter the full number in the prefill_phone.

  • URL parameters do not specify a specific date or time for the meeting.

  • Send the link containing the customer’s personal information directly to them, rather than posting it publicly.

  • On the version of the page marked with the v=2.0 autofilling of fields prefill_* is not currently supported
