Step 0: Your Calendar

The My Calendar panel is where you manage all your appointments. In a single view, you can check upcoming appointments, add your own events, mark time as unavailable, and view your calendar’s availability. Scheduling appointments directly through the My Calendar panel is described here—Step 1: Scheduling Clients

1. Appointments

  • 🟩 Green appointment—the appointment is confirmed or paid for.
  • Gray appointment—the booking is pending payment.

When you click on an appointment, its detailed view will open.

  • Participant details—first name, last name, email address, and phone number of the person who made the reservation.
  • Meeting details—date, time, duration, and organizer.
  • Meeting status—information on whether the meeting is confirmed or awaiting payment
  • Payment – a preview of the payment status and amount (for paid meetings).
  • Form responses—all information provided by the customer during the reservation.
  • Link to the online meeting—quick access to the meeting if it’s held remotely.
  • Meeting management—the ability to reschedule or cancel a meeting 💡 Good to know: If you’ve set “Require organizer confirmation” in your meeting topic, this is where you can confirm the meeting.

2. Settings

In the calendar settings, you can customize how the calendar is displayed to suit your needs.

  • Time Zone – Select the time zone in which all meetings in the calendar should be displayed. This is especially useful if you work with clients from different countries or travel frequently.
  • Time Range—specify which time ranges should be visible in the “My Calendar” panel.
  • Slot interval—decide how many minutes apart time slots should be displayed in the calendar (e.g., 15, 30, or 60 minutes).

Good to know: These settings apply only to the “My Calendar” panel. You can set your schedule and configure how slots are displayed to clients in the “Schedules” panel. You can read about the process of creating a schedule here: Step 0: Availability Schedules


Your External Calendar in the My Calendar Panel

If you connect your external calendar (e.g., Google Calendar, Outlook, or Apple Calendar) to Zencal, you’ll also see events from those calendars in the panel, and you can join them directly from Zencal. This gives you a complete overview of your availability in one place, and you can view event details directly from within Zencal.

Filter the view by calendars, meeting types, and team members

Filters let you quickly narrow down your calendar view to show only the meetings that interest you.

You can filter the calendar by:

  • Calendars—display meetings from a selected calendar.
  • Meeting types—show only meetings of a specific type or topic.
  • Team members—view the calendar of a specific organizer or selected team members.
