Step 7: Invoice Automation

With Zencal, you can automate the entire process—from scheduling an appointment, through payment, all the way to automatic invoice issuance. There are two ways to do this.

1. Automatic Invoice Issuance

If you use one of the supported accounting systems (inFakt, Fakturownia, wFirma, or iFirma), you can connect it to Zencal. This way, invoices will be issued automatically after the appointment is paid for and the client provides the billing information.

How do you set up the integration?

  1. Go to the Integrations tab in the Zencal dashboard.
  2. Select your accounting system.
  3. Enter the required access credentials.
  4. Enable the integration.

Once setup is complete, invoices will be generated automatically based on the information provided by the customer during booking.

2. Collecting Invoice Data

If you don’t use automatic invoicing, you can still collect invoice data from your customers.

To enable the form:

  1. Go to the settings for the selected meeting topic.
  2. Open the Payments tab.
  3. Enable the “Show Invoice Form” option.

Once enabled, customers will be able to provide billing information when booking an appointment. This information will be available in the booking details under “My Calendar.”


Invoices for Packages

When purchasing packages on Zencal, customers can enter their billing information during the checkout process. A form with the option to fill in billing information is available on the checkout page for each package.

Automatic Invoice Issuance

If you have Zencal connected to a supported accounting system, an invoice will be issued automatically after the package is purchased and the customer provides their information.

Invoice Management

You can find all package orders in the Orders tab

In the orders view, you can:

  • check the billing information provided by the customer,
  • verify the invoice issuance status,
  • issue an invoice manually with a single click if automatic issuance failed (e.g., due to incorrect or incomplete data provided by the customer).

This allows you to quickly correct any errors and issue the invoice without having to re-enter the data.


Invoices for Events

When creating an event, you can allow participants to provide billing information. The registration form includes an optional “I want an invoice” checkbox. When selected, the customer will be asked to fill in the information required to issue an invoice.

Automatic Invoice Issuance

If Zencal is integrated with a supported accounting system, an invoice will be issued automatically after the customer purchases a ticket and enters their billing information.

Manual Invoice Issuance

If you issue invoices manually, you’ll find the invoice details in the “Participants” tab for the event in question. This allows you to easily verify the information provided by the customer and issue an invoice outside of Zencal.
