Step 4: Sell meeting packages

To use the Packages module, your Zencal account must be on the PRO plan. Additionally, this feature requires activation of the dedicated “Packages” add-on in the Superpowers tab.

Why is it worth it?
  • Better cash flow: You get paid for several sessions at once, instead of waiting for individual payments.
  • Greater client engagement: Clients who have paid in advance for a series of sessions are less likely to cancel and more likely to return for future appointments.
  • Time savings and automation: The system automatically tracks the package’s expiration date and the number of sessions remaining. You don’t have to manually issue invoices for each consultation separately.
  • Ability to create special offers: Packages are ideal for offering discounts (e.g., “buy 5 sessions for the price of 4”), which effectively increases the average order value.
How does it work?

The package module allows customers to purchase multiple sessions in a single transaction.

  • Payment in advance: The customer pays for the entire package upfront, and the funds are credited to your account immediately.
  • Automatic time limits: You decide how long (e.g., 30 days, 3 months) the customer has to schedule and use the purchased sessions.
  • Convenient booking: After purchase, the customer receives a special link to your calendar and decides for themselves when to schedule their appointments, as long as the package is valid.
What do you need to sell session packages?

Before you start selling session packages, make sure you have these three key elements in place:

  1. Integrated payment gateway Online payment processing is essential for the automatic sale of packages, individual appointments, and events. It allows customers to pay for their order immediately upon booking.
  2. Terms of Service and Privacy Policy When selling services online, having these documents is a legal requirement. The customer must accept your Terms of Service before making a payment.
  3. Created Session Topics A package consists of specific services that you offer. To create a package, you must first have session topics defined in Zencal that you will later sell as part of the package.
How to Manage Packages?

Once the module is activated, your Packages dashboard will be divided into two convenient tabs that simplify your daily work:

  1. Offers

This is your command center and product database. In this tab, you can:

  • Create new meeting packages.
  • Edit existing offers, change their prices, limits, and descriptions.
  1. Orders

This is where you can monitor sales and how customers are using their packages in real time. In this tab, you’ll find:

  • Customer information: First name, last name, email address, phone number
  • Payment status: Information on whether the package has been paid for.
  • Session counter: A clear overview of how many sessions from a given package the customer still has left to use (e.g., 3 out of 10).
  • Personalized booking link: A direct link assigned to a specific client. You can copy and send it manually to make it easier for them to book additional appointments from their package.

How to create a package step by step?

  1. Go to the Packages module
  2. Click the “Create Package” button
  3. Basic Information
  • Title: Enter a clear name for the package that the client will see (e.g., “5-Session Business Consultation Package”).
  • Description: Add details about the offer.
  1. Pricing and Availability
  • Use EasyCart to sell the package: If you use EasyCart, you can enable this option using the slider.
  • Package Price and Currency: Enter the amount the customer must pay upfront and select the appropriate currency
  • Visibility: Check the “Link to purchase the package visible on the profile page” slider if you want the package to be publicly available to anyone visiting your profile page.
  • Number of Sessions Included in the Purchased Package: Set the exact number of sessions the customer receives with a single purchase.
  • Package validity period: In the “After purchasing the package, the client can use it within...” field, specify the time period (e.g., number of months) during which your client can use the package.
Good to know: Leave this field blank if the package is to be valid indefinitely.
  1. Session Topics
  • Select session topics: Choose one or more session topics from the list that are included in the package.
  • Limit the number of sessions for selected topics: If your package combines different types of services, you can precisely set a booking limit for each selected topic separately.

Example: As part of a single large package consisting of a total of 10 sessions, you can set a limit so that a client can use a maximum of 5 consultations and 5 implementation sessions. This prevents a situation where a client would use up the entire package on just one type of session.

  1. Note for the client: Enter a short, personalized message (e.g., instructions on next steps or a thank-you note) that the client will see when scheduling sessions from the package.
