Step 1: Scheduling Appointments with Clients

If your clients not only book appointments on their own, but you also schedule appointments for them, it’s best to use the “Schedule an Appointment” feature available in the My Calendar panel

With this feature, you can schedule both individual appointments with clients and entire series of recurring appointments—all in one place.

Scheduling an Appointment

From the My Calendar panel, you can also manually schedule appointments. To do this, click the “Schedule an Appointment” button, which will take you to the scheduling form.

Then:

  1. Select whether you want to create a one-time or recurring meeting.
  2. Select the meeting organizer.
  3. Select the meeting topic.
  4. Add the client for whom you’re scheduling the appointment.
  5. If the client is not yet in the database, click “New Client” and enter their information.
  6. Select the appropriate meeting date
  7. After filling in all the information, click “Schedule Meeting” to add it to the calendar.


Paid appointments when scheduling manually

If you’re manually scheduling a paid appointment, after clicking “Schedule Appointment,” you’ll have the option to copy the payment link and send it to the client via your preferred method.

You can also use the automatic link-sending feature:

  • Send the link via text message—if you have an active text message balance,
  • Send the link via email.

After selecting one of these options, the client will receive a message with the payment link. Once the appointment is paid for, the reservation will be automatically confirmed.
