Before you start accepting reservations, set up a cancellation and rescheduling policy. This will help you keep your calendar organized from the start, reduce last-minute changes, and give you more control over your time.
Why should you set up a cancellation and rescheduling policy?
This helps you avoid “last-minute” cancellations and chaos in your schedule. You decide when a client can cancel or reschedule an appointment, how much time they have to do so, and how many times they can do it. In practice: fewer empty slots in your calendar and a more predictable daily schedule.
How do you set up cancellation and rescheduling policies?
- Go to the Meeting Topics panel
- Click the meeting topic for which you want to set policies
- Go to advanced settings and scroll down to the “Policies” section
How does it work?
When booking an appointment, the client receives two links: one to cancel and one to reschedule. The links are only valid during the time period you set in the policies—after that time has passed, the client can no longer change the date or time of the appointment. For each change (cancellation or rescheduling), the client can also provide a reason.
Good to know: You set policies separately for each appointment topic. This allows you to have different rules for different services.
What do you gain?
- Fewer last-minute cancellations and fewer “empty slots” in your calendar.
- More control over your schedule (you set the deadlines and limits on changes).
- A more relaxed daily routine—you’ll know in advance whether a meeting will take place.
- A better customer experience: clear rules and quick rescheduling without back-and-forth messages.
- Reason for cancellation/rescheduling
